Executive Assistant

Location: Midtown Manhattan

Pay: $85000 - $95000 / Year

 

Job Responsibilities:

  • Responsible for complex and detailed calendar management
    • Responsible for management of emails including responding to emails on behalf of the executives
    • Schedule, arrange, and facilitate meetings; this includes note taking and optimizing for different time zones to support our distributed international teams
    • Independently and proactively carry out projects to completion
  • Prepare expense reports- daily, weekly, or monthly
  • Coordinate travel arrangements- domestic & international
  • Assist other administrative support staff as needed

 

Requirements:

  • 5+ years' experience in an executive support role, preferably supporting a C-level    executive, nonprofit, foundation, or academic background preferred?
  • Strong organizational skills and ability to "manage up" and “take off the plate” mentality
  • Excellent communication skills (written and verbal)
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
  • Comfortable with Concur, QuickBooks, or alike applications
  • Bachelor’s degree preferred
  • Ability to work well within a team environment

 

Summary: This role requires a candidate who will have the ability to utilize and innovate on current technology platforms (tech savvy):

  • The EA must have the ability to make last-minute changes to calendar due to shifting priorities; must often make decisions without prior approval from assigned leaders; and will prepare expense reports, presentations, memos, and correspondence.
  • The EA will interact with various levels of management and may provide back up support to other Administrative Assistants.
  • The EA must maintain strict confidentiality and exercise independent discretion and judgment to solve complex problems.
